Overview
OtterMind, Inc. (“OtterMind,” “we,” “us,” or “our”) builds a personal knowledge workspace for notes, files, and ideas. This Privacy Policy describes what information we collect when you use our websites, desktop and mobile apps, and related services (the “Service”), how we use it, and the choices you have.
We have written this policy in plain language. If something is unclear, write to [email protected] and a real person will reply.
Information we collect
Account information. When you create an account we collect your name, email address, and authentication credentials. If you sign in through a third‑party provider (e.g., Google, Apple), we receive the basic profile information that provider returns.
Content you create. Pages, notes, files, and other material you upload to the Service are stored on our infrastructure so we can sync them across your devices.
Usage and device information. We collect logs about how the Service is used — pages visited, features used, app version, operating system, IP address, and approximate location derived from IP. These logs help us keep the Service reliable and secure.
Payment information. If you subscribe to a paid plan, our payment processor (Stripe) collects the card details on our behalf. We retain only the last four digits, brand, and billing country.
Communications. When you write to support, fill in a form, or respond to a survey, we keep a copy of the exchange.
How we use information
To provide, maintain, and improve the Service — including syncing your content, processing payments, and responding to support requests.
To keep the Service secure — detecting fraud, abuse, and unauthorized access.
To communicate with you about product updates, security advisories, and (with your permission) marketing material you can unsubscribe from at any time.
To comply with legal obligations and enforce our Terms.
We do not sell your personal information, and we do not share it with advertisers.
Data retention
We keep your account and content for as long as your account is active. When you delete content, it is removed from our active systems within 30 days and from backups within 90 days.
If you close your account, we delete your content within 30 days, except where we are required to keep it for legal, tax, or fraud‑prevention reasons.
Security
Content is encrypted in transit using TLS and at rest using AES‑256. Access to production systems is restricted, logged, and reviewed.
No method of transmission or storage is perfectly secure. If we ever discover a breach affecting your information, we will notify you and the relevant authorities as required by law.
Your rights
Depending on where you live, you may have the right to access, correct, export, or delete your personal information; to object to or restrict certain processing; and to withdraw consent. You can exercise most of these rights from Settings → Privacy. For anything we cannot offer in‑app, write to [email protected].
We will not discriminate against you for exercising these rights.
International transfers
OtterMind is based in the United States and uses infrastructure in the United States and the European Union. Where required, we rely on Standard Contractual Clauses or another approved transfer mechanism to move data across borders.
Children
The Service is not directed to children under 13 (or under 16 in the European Economic Area). We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, write to [email protected] and we will delete it.
Changes to this policy
We may update this policy from time to time. If the change is material, we will notify you in‑app or by email at least 14 days before it takes effect. The date at the top of this page reflects the most recent revision.
